Designing a scalable IVA case management platform to reduce operational overhead and improve internal workflows

Project Overview
Currently in progress – Phase 1 release expected June 2026.
Insolvatrack is a platform designed for insolvency practitioners to set up, track, and manage Individual Voluntary Arrangements (IVAs).
Previously, the team at Freeman Jones relied on multiple systems to manage cases, creating unnecessary complexity and slowing down day-to-day operations. The goal of Insolvatrack is to provide a single, unified platform that reduces technical friction and frees up practitioner time.
The end-to-end IVA process is complex, involving multiple stages, decision points, and workflows. The platform is being designed and developed in phases as part of a wider continuous improvement plan, with future iterations expanding into additional debt solutions such as bankruptcy and debt management plans.

Project Problem
There were two key problem areas: internal inefficiencies and a poor client experience.
From a customer perspective:
Complex and confusing processes
Limited real-time support
Frustrating document submission
Lack of visibility into case progress
These issues often led to stress, delays, and disengagement from the insolvency process.
From a business perspective:
Case management relied on multiple disconnected platforms
Workflows were fragmented across systems
Practitioners spent significant time on manual administration
Maintaining consistency and accuracy across cases was difficult
The combination of these challenges made it harder to scale operations efficiently while maintaining a good experience for both practitioners and customers.

Project Approach
I led the design of the platform, working closely with stakeholders and internal users to translate complex requirements into a structured, usable system.
My approach included:
Collating and aligning business and user requirements across teams
Mapping end-to-end IVA workflows from the perspective of the practitioner and the customer
Conducting user sessions throughout the project to validate assumptions and refine requirements
Designing a system that supports both internal case management and customer-facing interactions
Creating functional prototypes to communicate decisions whilst gathering user and stakeholder feedback
Project Outcome
The platform is currently in development, with Phase 1 expected to launch in June 2026.
While final impact is yet to be measured, the platform is designed to:
Reduce time spent on manual administrative tasks
Improve visibility and transparency across case management
Streamline communication between practitioners and clients
Enable a more self-serve experience for customers uploading documents
The platform is projected to deliver approximately £400k in annual savings through improved operational efficiency, while also creating a more accessible and less stressful experience for practitioners.
